Glossary
Every word in the dashboard that might need explaining, in one place.
- Agent
- Your AI assistant. Most agencies have one. It has a name, a personality, a knowledge base and a set of connected channels.
- Channel
- A place students can message you from: WhatsApp, Facebook Messenger, the website widget, or Facebook post comments.
- Conversation
- One continuous chat with one student on one channel. It appears as a single thread in the Inbox.
- Lead
- A student the AI has qualified as a genuine prospect. Leads have a pipeline stage and a temperature.
- Contact
- Anyone who has messaged you but is not yet a qualified lead — for example someone asking a one-off question.
- Temperature
- How ready a student is to move forward: hot (ready now), warm (interested, needs nurturing) or cold (early or unlikely).
- Pipeline stage
- Where a student is in your process — new lead, counselling, application, offer, visa, enrolled, completed, and so on.
- Human handover
- The moment a conversation is passed from the AI to a member of your team. The AI then stays quiet on that chat until the person is done.
- Knowledge gap
- A question the AI could not answer confidently. Gaps are logged for you to review and answer, which teaches the agent.
- Training data
- The material you give the AI to learn from — your programmes, fees, process, FAQs and documents.
- Playground
- A private test chat with your agent. Nothing here is seen by students.
- Credits
- The unit AbroadMate bills in. Roughly, activity by the AI consumes credits from your monthly balance.
- Intake period
- A window when a university or country accepts applications for a start date — for example an Autumn intake.
- Consultant
- A named human expert at your agency, often tied to a country, that the AI can direct students to.
- Commission
- Money a university owes your agency for an enrolled student (receivable), or money you owe a sub-agent (payable).
- Sub-agent
- A partner agency that sends you students. Their leads can be tracked separately as a source.
- WhatsApp template
- A pre-approved message format that lets you contact a student on WhatsApp outside the 24-hour reply window.
- Coexistence
- A WhatsApp setup where the AI and your phone share one number — you keep replying from the app and the AI works around you.
