The student CRM
Leads & Contacts
Your working list of people. Leads are qualified prospects moving through your pipeline; Contacts are everyone else who has been in touch.
Leads vs Contacts
- Lead
- A student the AI has qualified as a real prospect. Has a pipeline stage, a temperature and (usually) an assigned counsellor.
- Contact
- Someone who messaged you but is not a qualified lead — a one-off question, a wrong number, a parent, a student not ready to engage.
The two are tabs on the same screen. A contact becomes a lead automatically when the conversation shows genuine intent, or you can promote one by hand.
Reading the list
Each row shows the student’s name, contact details, pipeline stage, temperature, assigned counsellor, and when they were last updated. Rows that have not moved in a while are marked as stale so they do not get forgotten.
Filtering
- Stage — jump to everyone at “application” or “offer”.
- Time — leads created in the last hour, today, this week, this month, a custom range, or all time.
- Search — by name, phone or email.
The stage segments across the top double as filters and show a live count per stage.
Import and export
- Import — bring in students from a spreadsheet, for example a back-catalogue or a list from a partner.
- Export — download every student matching your current filters.
Row actions
From a row you can open the full student profile, reassign the counsellor, change the stage, or delete the lead. Deleting removes the student record and its history — do it only for genuine mistakes and duplicates.
