Where you shape the assistant’s knowledge of your agency’s structure — the facts it needs to give students correct, specific answers.
Your agent already exists
Intake periods
An intake period tells the AI when applications open for a given country and start date. Add one for each intake you work with. For each period you set:
- Country
- The destination the intake belongs to.
- Session name
- A label students recognise — Autumn, Spring, Fall, Winter.
- Start and end dates
- The window during which this intake is considered open.
- Description
- What the AI says while the intake is open — e.g. “The Autumn intake for Finland is open now.”
- Next intake text
- What the AI says when the intake is closed — e.g. “The next intake begins on 1 October.”
With intakes configured, a student asking “when can I apply for Germany?” gets a dated, accurate answer instead of a vague one.
Consultants
Consultants are the named human experts at your agency. List each one with their name, phone number, an optional country, and a short description of who they help. When a student needs a person — or asks about a country tied to a consultant — the AI can name them and share how to reach them. The display order controls who is offered first.
Processed countries
Select the destination countries your agency actually handles. If a student asks about a country you have not selected, the AI will say your agency does not process that destination and point them to a consultant rather than guessing.
Leaving it blank means “no restriction”
You can add a country that is not in the standard list by typing it in. Changes save automatically.
Contact & location
Your office address and hotline number. The AI uses these when a student asks where you are or how to call you, and when it invites someone to visit in person.
