The student CRM

Followups

Most students do not enrol on the first conversation. Followups is the screen that makes sure the second, third and fourth conversations actually happen.

Why it is separate from Tasks

A task is done or not done. A follow-up is a small cycle: you reach out, you record what happened, and you decide when to reach out again. That loop needs its own screen so a follow-up is never simply ticked off and forgotten.

The numbers at the top

Overdue
Follow-ups whose scheduled date has passed.
Scheduled Today
Due to be actioned today.
Pending Responses
You have reached out and are waiting to hear back.
Reached · 30d
The share of follow-ups in the last 30 days where you actually made contact — a measure of how well the discipline is working.

Queue and Logged

  • Queue — what is outstanding, grouped by urgency.
  • Logged — a history of closed follow-ups, newest first.

Filter either view by channel, pipeline stage, or the teammate responsible.

Closing a follow-up

  1. Make contact

Use the WhatsApp shortcut on the row, or reach out however suits the student.
  2. Log the outcome

Record what happened — reached and interested, reached but not ready, no answer, wrong number, and so on.
  3. Book the next touch

Choose when to follow up again. This creates the next follow-up automatically, so the chain never breaks.
The “Reached · 30d” figure is the one to watch as a manager. If it is low, follow-ups are being closed without real contact — a sign the team needs more time, or the schedule is too aggressive.
